Shipping

All booth materials including furniture, backdrops, structural materials, etc. must be shipped to the Freeman Advance Warehouse with the proper shipping labels. Freeman will then deliver your freight to your booth (material handling fees apply). All meeting material handling and freight requirements must go through Freeman.  

Hanging signs MUST be shipped to the Freeman Advance Warehouse with a hanging sign label. 

Please note that anything shipped to the Freeman Advance Warehouse will be delivered to your booth - you won’t be able to access it outside of move-in hours.  

Shipments arriving after the advance receiving deadline will incur a late surcharge. Missed the deadline? Freeman will begin accepting shipments at the show site starting on September 15. See below for shipping labels and further information on all shipping options! 

What happens to my empty containers during the show? 

Pick up “Empty Labels” at the Freeman Service Desk. Once the container is completely empty, place a label on each container individually. Labelled empty containers will be picked up periodically and stored in non-accessible storage during the event. Freeman will begin returning empty containers to booths in no specific order once the show floor has closed and the carpet has been rolled up.  

What is material handling? 

Material Handling is the service to move and store your freight from the freight docks to your booth. This service includes off-loading from the delivery truck; delivery to your booth; removing empty crates and boxes; storing the crates and boxes during the show and returning them after the show: and finally, delivery of the crates and boxes to your carrier. This service is all provided exclusively by Freeman. It is a one-time charge for incoming and outgoing. See the Material Handling page on FreemanOnline for more information, rates, and order forms.

Shipping to the Advance Warehouse 

Freeman will begin accepting advance shipments at their warehouse on August 15, 2025. 

All shipments must be delivered to the Freeman warehouse by September 8, 2025. Materials arriving after September 8 will be subject to a late surcharge. 

Please attach the correct Freeman shipping label to each box in your shipment.

Please note that the Freeman Warehouse does not accept uncrated freight (loose, pad-wrapped material and/or unskidded machinery), COD shipments, hazardous materials, freight requiring refrigerated or frozen storage, a single piece of freight weighing more than 5,000 pounds or a single piece of freight beyond the dimensions of 108"H x 93"W.

Shipping Direct to Show Site 

If you ship booth materials directly to McCormick Place Freeman cannot accept the delivery before September 15, 2025. Shipments arriving before this date may be refused by the facility or incur charges.

Shipments may be significantly delayed if you ship directly to show site. If your shipments are delayed, this could affect your material handling fees and labor costs during build. 

NOTE: A Marshalling Yard will be in use for all show site shipments. All delivering carriers must check in at the Marshalling Yard prior to delivering to the facility. We advise to have your carriers arrive early as the Marshalling Yard is first come first serve.

Shipping to The FedEx Office Print & Ship Center 

Collateral and smaller boxes can also be shipped to the FedEx Center in the Marriott Marquis, which is conveniently located near McCormick Place. The FedEx in McCormick DOES NOT accept deliveries but can assist with outbound shipment.

Be sure to double check the FedEx Center’s hours of operation and plan your pickup accordingly. 

NOTE: Please do not send booth build materials to the FedEx Center, but to the advance warehouse or show site. 

 

Links and Shipping Labels 

Please do NOT use these instructions if you have NOT purchased a sponsorship package requiring you to ship items to Shoptalk show management (such as a seat drop or swag store placement). You will be charged for any deliveries that are not part of a sponsorship package.  

For any sponsorships that require you to provide items to Shoptalk, such as a swag store placement, you have likely been sent specific instructions from the Shoptalk Sponsor Logistics Team. We recommend confirming your exact instructions for your sponsorship with your logistics lead before shipping. 

Most items should be sent to the Freeman Advance Warehouse with the proper shipping label. Please be sure to label each box and label it correctly - especially if you have a booth, as your sponsorship items could be redirected! 

Shipments arriving after the advance receiving deadline will incur a late surcharge. Missed the deadline? Freeman will begin accepting shipments at the show site starting on September 15, or you can ship smaller packages of collateral to the FedEx Office Print & Ship Center in the McCormick Place at any time. See below for shipping labels and further information on all shipping options!
