Must-Know Information  

Exhibit Hall Check-in Location 

The Exhibit Hall is located in the Hall A, Level 3 in the South Buildigng at the McCormick Place. During move-in, exhibitors and their contractors must enter the Exhibit Hall via the designated entrance. Final location is TBD and will be communicated prior to arriving on-site. 

Only Exhibiting Sponsors and their approved EACs will have access to the Exhibit Hall during move-in and move-out. A Sponsor badge or EAC wristband will be required to access the halls. General Attendees and non-exhibiting Sponsors will not be allowed into the halls during move-in and move-out. 

All EAC’s and vendors must be pre-registered with the McCormick Place B.E.E.P Program and may only enter the building through designated points. 

You must wear the proper Personal Protective Equipment or you will be denied entry during move-in and move-out. Important - it will not be provided, you must bring it yourself! 

All exhibitor personnel are required to wear closed-toe shoes and high visibility vest/sash for safety purposes during move-in and move-out. NO EXCEPTIONS! Do not leave it at your booth at the end of the day - you will need it to get back in! 

If your feet are 6 ft or higher off the show floor, you are REQUIRED to wear a hard hat. 

Exhibitor Help (Service Desk) 

The Freeman Exhibitor Service Desk is where you will find help from Freeman (empty box labels and outbound shipping forms). 

Location of the Exhibitor Service desk inside the Exhibit Hall is TBD. 

Floor Managers 

Shoptalk Fall will have multiple Floor Managers walking the Exhibit Hall during move-in and move-out as well as during the show. The Floor Managers are extensions of the Sponsor Logistics team and Shoptalk Operations team. 

Inspection Deadline 

Per Exhibitor Display Rules and Regulation, any space only booth not occupied by 2:00 pm CT, Tuesday, September 16, 2025, will be presumed abandoned. If there is freight in the booth and Show Management believes the Exhibitor will be arriving late, the General Contractor will set up the display to the best of their ability with the information available.  

If there is no freight in the booth and/or Show Management believes the Exhibitor will not participate in the show, the booth will be reassigned. Exhibitors arriving after this time will be given space available and may incur additional costs. 

ALL EXHIBITS MUST BE COMPLETELY BUILT BY 1:00 pm CT, Wednesday, September 17, 2025. Absolutely no noise or construction will be allowed after 1:00 pm CT. Exhibitors will be allowed to dress booths from 1:00 pm CT – 5:00 pm CT. Absolutely no shipment, equipment or material may be brought onto the show floor during show hours.   

Any Exhibitor or EAC that did not submit a booth plan and receive permission to build will not be allowed into the Expo Hall until their booth is reviewed by Abraxys or Show Management. Show Management is not responsible for labor overages or building delays that may incur as a result. 

After 11:00 am CT on Wednesday, September 17, 2025, any part of a booth with unfinished side or backwalls or end caps will be finished by Show Management at the expense of the Exhibitor. 

Exhibit Hall Move-in and Move-out Schedule 

Exhibitors and their EACs will have access to the Exhibit Halls to install and dismantle their booths at the applicable hours below. In addition, Exhibitors can access the Exhibit Halls early, 7:30 am CT Thursday and Friday to prepare their booth for the day. Non-exhibiting badge holders will not be granted access to the Exhibit Hall prior to show open. 

NOTE: A Marshalling Yard will be in use for all show site shipments. All delivering carriers must check in at the Marshalling Yard prior to delivering to the facility. We advise to have your carriers arrive early as the Marshalling Yard is first come first serve.

This location does not accept deliveries. It is only for the staging of trucks delivering to and picking up from show site facilities.

Times Subject to change. For pre-approval for any times denoted as "Pre-Approved exhibitors ONLY" you must reach out to sponsor_support@shoptalkfall.com to request approval.

Move-out reminders: 

All exhibitor materials must be removed from the exhibit facility in the times outlined in the move out schedule 

To ensure all exhibitor materials are removed from the exhibit facility by the Exhibitor Move-Out deadline, please have all carriers check-in by September 19, 2025 - 6:00 PM. In the event your selected carrier fails to show on final move-out day, Freeman reserves the right to re-route your freight onto another carrier. 

Note that any excessive trash which consists of display materials, carpet, padding, crates and/or pallets will be disposed of and charged both a handling fee and disposal fee during exhibitor move-out 

Clear out booth. Any excessive materials left in the booth at the end of the event will be considered trash
